Software Copyright Registration Guide in China

Software copyright registration in mainland China is an evidence and administration process for a specific software work. It does not replace a contract, patent, trademark, trade-secret controls, or proof of lawful third-party content. Registration can support ownership records, commercial transactions, funding applications, and some platform or government procedures, but the certificate is only as reliable as the submitted facts.
Confirm five matters before preparing the application
1. The copyright owner
Identify whether the work belongs to a company, an individual, multiple authors, or a commissioning party. Employment, commissioned-development, cooperation, assignment, and inheritance arrangements can require different ownership documents. Resolve inconsistencies before filing.
2. The software is sufficiently complete
The submitted source and documentation must represent an identifiable software work. Do not assemble unrelated fragments or describe a product that has not actually been implemented.
3. One consistent name and version
The application, source headers, manuals, screenshots, contracts, and other evidence should use the same full name, abbreviation, and version. A last-minute rename is a common cause of rework.
4. The registered boundary
Define which product, module, client, server, or release the filing covers. For a large platform, a clear module boundary is often more defensible than an ambiguous claim over every connected system.
5. Third-party and sensitive material
Review open-source code, licensed components, customer data, credentials, personal information, confidential logic, and third-party brands. Registration does not turn third-party property into the applicant's property, and the evidence package should not expose secrets unnecessarily.

- Select representative source material and remove credentials or unrelated sensitive data without making the sample misleading.
- Prepare a manual or design document that matches the actual functions and version.
- Assemble identity and ownership evidence.
- Complete the online application and perform a consistency review.
- Submit and retain the exact filed package.
- Respond to correction requests with an impact check across every document, not just the named field.
- Archive the certificate, receipt, final source sample, documentation, and supporting contracts together.

Frequent causes of correction or rejection

Before submission
Check that the applicant and ownership chain are supported; the software boundary is clear; names, versions, dates, and page headers match; the source and manual describe the same product; credentials and unnecessary personal data are removed; third-party components are accurately treated; and the client has approved the final package.
